Gagosien is currently seeking an Administrative Assistant to join us on a Permanent basis. In this role you will be joining a Senior Directors office, where you will gain invaluable exposure working with the executive team, our fast-growing and successful key artists as well as top level clients across nineteen of our international galleries.
The right candidate will be able to work well in a demanding and busy environment.
Responsibilities include (but not limited to):
– Proactively supporting the Senior Director’s office by scheduling, maintaining, and updating calendar events, whilst considering different time zones and optimising calendar management
– Complete travel coordination tasks, including scheduling and coordinating travel for the Senior Director, organising business-related pre-travel preparation such as Visa and Travel Insurance whilst remaining on call to respond to urgent requests.
– Execute expense management activities including reports, invoices, and purchase orders whilst collecting all receipts.
– Support the executive’s office with the Senior Director’s artist exhibitions, Image requests and catalogue production
– Market research, database maintenance, digital file archiving, auction record oversight, and consignment checklist development
A bit about you
– Exercise sound, independent judgment to regularly handle new and complex situations
– Proven ability to successfully handle multiple, high urgency, requests in a reliable manner
– Ability to professionally communicate, including across competing priorities
– High level of flexibility and a strong team worker
– Excellent interpersonal and communication skills, able to quickly build effective and trusting relationships at all levels.
– Demonstrates independent problem solving and initiative with appropriate considerations
– Displays exemplary organizational skills to maintain order and stability throughout function and previous experience juggling workload across different projects and clients.
– Excellent English written and verbal skills
– Previous experience managing calendars, arranging travel, and keeping expenses.
– Works with a sense of urgency and in a timely manner
Core hours: 10am to 6pm, Monday to Friday
Location: Grosvenor Hill, London
Salary: Salary commensurate with experience
